Booking a villa in Ibiza for a group: what to check before you pay

A private pool and terrace at one of the Wingman Ibiza villas

The questions group organisers have sent me since 2014, answered in one place. Jens

One of our three villas, five minutes from Ibiza Town.

One person in your group is about to send a few thousand euros to someone they have never met, on behalf of seven or fifteen friends. Usually that person is you.

If the villa turns out smaller, louder or further from everything than the listing suggested, it is your name on the booking and your phone that rings. The fourteen questions below take about twenty minutes and work for any villa you are considering, wherever you found it.

We are Wingman Ibiza. Jens has looked after groups in our three villas, Kiku, Mika and Suki, since 2014. Villa Kiku and Villa Mika sit on the same lane in Sa Carroca, Sant Jordi, 5 minutes by car from Ibiza Town; Villa Suki is 3 minutes from them by car. Under each question is how we answer it, so you can see what a full answer looks like.

The checklist

Tick each question as you get an answer for the villa you are looking at. Then copy the list into your group chat, or send the questions straight to the host.

01

Does everyone get a real bed?

"Sleeps 8" tells you how many people a listing allows, not what they sleep on. A sofa bed in the living room or two adults sharing a double can both count towards that number.

Ask: what does each person sleep on, and in which room?

How Wingman Ibiza answers it

  • Villa Kiku, Villa Mika and Villa Suki are each licensed for 8 guests, and the licence is the limit. No extra beds or mattresses.
  • At any Wingman villa, two single beds can be joined into one bed with a topper, for EUR 75.
VillaBeds, as on each villa pageBest for
Kiku2 double beds (180 x 200 cm) and 4 single beds, plus sofa beds; four bedrooms, all upstairsTwo couples and four friends
Mika2 double beds, 2 singles made up as a double, and a room with 2 single beds; three bedrooms en suiteThree couples and two friends
SukiSingle beds in all four bedrooms, one pair made up as a double; bedroom 3 has three singles, one with a pull-out bed underneath; everything on one levelFriends who each want their own bed

02

Why does a villa in Ibiza take a set number of guests?

In Ibiza, every holiday villa rented to tourists needs a tourist licence, and the licence states how many guests it may take. That number is the legal limit, whatever the number of beds or sofas in the house.

New licence places on the island have been frozen while the Consell d'Eivissa sets a new limit (Periódico de Ibiza, April 2025), so a licensed villa cannot simply add guests. A group larger than one licence allows needs two licensed villas, ideally close together.

Ask: what is the licence number, and how many guests does it allow?

How Wingman Ibiza answers it

  • Villa Kiku (ETV1840E), Villa Mika (ET0392E) and Villa Suki (ET0280E) are each licensed for 8 guests.
  • For 16, Wingman books Villa Kiku and Villa Mika together: two licensed villas 59 metres apart on the same lane in Sa Carroca, Sant Jordi.
  • For up to 24, all three villas, with Villa Suki 3 minutes away by car.

03

How many bathrooms per person?

Eight people and two bathrooms means a queue every morning before the beach. It is the detail most often missing from a listing, and the one the group notices first.

Ask: how many bathrooms, and which bedrooms share one?

How Wingman Ibiza answers it

VillaBathrooms for 8 guests
Kiku3: two upstairs with walk-in showers, one downstairs
Mika4: three bedrooms en suite, one bathroom downstairs beside bedroom 1
Suki2: one with a bath, one with a large walk-in shower

Mika: four bathrooms for eight.

04

Can the whole group eat together?

The table is the room a group trip happens in. A villa that sleeps 8 but seats 6 means two people eating standing up every night.

Ask: how many does the dining table seat, inside and outside?

How Wingman Ibiza answers it

VillaIndoorsOutside
KikuDining table for 8BBQ table for 14, main terrace table for 8
MikaDining table for 8, kitchen table for 5Terrace table for 8
SukiDining table for 8Main terrace table for 10, BBQ terrace table for 8

Every table seats its number in full. Booking Kiku and Mika for 16? Kiku's BBQ table seats 14 comfortably, and two more chairs make 16.

05

How many stairs and steps, from the car to the pool?

"No stairs" in a listing usually means inside the house. For a grandparent, a sprained ankle or a heavy suitcase, the steps from the car to the door and from the terrace to the pool count just as much.

Ask: how many steps from the car to the bedrooms, the garden and the pool?

How Wingman Ibiza answers it

VillaInsideOutside
KikuAll four bedrooms upstairs, up 16 steps2 steps up to the entrance, 2 from the terrace to the garden, 6 from the garden to the pool
MikaTwo bedrooms downstairs; two upstairs, up 17 stepsOne 10 cm step at the entrance, one 7 cm step from the terrace to the garden and pool
SukiEverything on one level, no stairs2 steps up to the entrance, 6 to the garden and pool, 1 to the BBQ area

No villa has a step at any door frame. Door widths, bed heights and shower steps are on each villa page.

06

Who cleans, and what is checked before you arrive?

A listing photo shows the villa on its best day. What you arrive to depends on who cleaned it after the last group, and whether anyone checked their work.

Ask: who cleans, what is included, and who checks the villa before we arrive?

How Wingman Ibiza answers it

  • A licensed cleaning company cleans the whole villa after every stay, with every major surface wiped down with disinfectant. The final clean is included in the price.
  • Before every check-in the villa is checked by the head of the cleaning company, and usually by Jens as well.
  • Bed linen and towels are washed at 70 °C with disinfectant. Every bed has mattress and pillow protectors, and the mattresses are disinfected twice a year.
  • Each guest gets a bath towel, a pool towel and a face towel. The pool is cleaned at least once a week, usually twice in the hottest months.
  • Something missed? Message us and someone comes to put it right.

07

What will it cost each of us, all in?

The listed nightly rate is rarely the number you split. Cleaning, tourist tax and a deposit come on top, and the organiser is the one explaining the difference to the group.

Ask: what is the full amount, and what changes if someone drops out?

How Wingman Ibiza answers it

  • Your quote page shows the full price for the villa, cleaning included, before you pay.
  • The price is for the whole villa, so it does not change if one person drops out.
  • The tourist tax is set by Balearic law: EUR 2,20 per person per night from May to October and EUR 0,55 from November to April, half that from the ninth night, nothing for under-16s, and only for the people actually staying each night.
  • Anyone can take someone else's place, as long as no more than 8 stay and everyone is registered before arrival.
  • One booking, one payment: the organiser pays us and collects the shares. Need an invoice for a company trip? We issue one.

Tourist tax for your group

08

How much is due now, and when is the rest due?

The question that catches organisers out is not the total but the timing: how much leaves your account today, when the rest is due, and what is held on a card at the door. Get all three in writing before you pay anything.

Ask: how much is due now, when is the balance due, what is the security deposit, and what happens if we cancel?

How Wingman Ibiza answers it, booking direct

  • At booking: 50% by secure card payment, together with the tourist tax. This confirms your dates.
  • 30 days before arrival: the balance, by bank transfer. We email the bank details and a reminder beforehand. Booking within 30 days of arrival? Everything is paid at booking.
  • At check-in: EUR 500 per villa held on a card as a security deposit, not charged, and released after checkout.
  • If plans change: cancel within 24 hours of booking for a full refund, as long as arrival is at least 7 days away. After that the 50% deposit is not refundable, and neither is the balance once paid.
  • Booking one of our villas on Airbnb instead? Airbnb's payment schedule and that listing's cancellation terms apply.

09

Can you book direct, and what does it save?

When you book through a platform, part of what you pay goes to the platform. When you book direct with the operator, that part can come back to the group instead.

Split between eight or sixteen people, it is often enough to pay for a dinner out or the drinks for the week.

Ask: do you take direct bookings, what is the direct price for our dates, and how do I pay?

Same villa, same team, 10% less.

How Wingman Ibiza answers it

  • Booking direct with Wingman Ibiza is always 10% below the Airbnb price for the same Wingman villa and dates, on the villa and the cleaning.
  • The tourist tax is the same either way: it is set by law, not by Wingman.
  • Same villa, same team, same house rules. You pay EQT VON 2018 S.L. by card on your quote page or by bank transfer, and your quote shows the full price and the saving.
  • Already looking at one of our villas on Airbnb? Ask us for the direct price for the same dates. We reply within the day.

10

Who are you paying, and how can you check?

You are trusting a stranger with the whole group's money. A real operator gives you the means to check them before you pay, without you having to ask twice.

Ask: which company am I paying, what is the licence number, and where can I look it up?

How Wingman Ibiza answers it

  • The company is EQT VON 2018 S.L. (CIF B16582819).
  • Licences: Villa Kiku ETV1840E, Villa Mika ET0392E, Villa Suki ET0280E. Check any of them on the Consell d'Eivissa register.
  • Booking direct with Wingman Ibiza, you pay by card on your quote page or by bank transfer to the company account. Never to a private person, never in cash.
  • Our only Airbnb listings are Kiku, Mika and Suki, where every review is public. See one of our villas anywhere else? Message us before you pay.
  • The person booking must be 21 or older.

11

Where exactly is it, and how do you get home at 3 am?

"Close to Ibiza Town" can mean five minutes by car and an hour on foot. Eight people and no car means taxis, and in July and August taxis mean waiting, most of all after the clubs close.

Ask: where exactly is the villa on a map, how many minutes by car to town, the beach and the airport, can a taxi reach the gate, and is there a shop within walking distance?

How Wingman Ibiza answers it

  • Your quote page links to the villa on Google Maps, so you can check every distance yourself. Ibiza Town is 5 minutes by car, Playa d'en Bossa 8, the airport 5 to 7. None of the villas is within walking distance of a beach.
  • Uber and licensed taxis come to the gate at all three villas. The local taxi app, TaxiClick, finds you by GPS.
  • Getting home late in July and August: a wait of 30 minutes or more is normal, so order the ride before you leave the club, and only ever ride in a licensed taxi or an Uber.
  • Groceries: Mercadona is 10 minutes on foot from Kiku and Mika. From Suki it is 3 minutes by car; on foot there is only the hard shoulder of a busy main road, so drive.
  • Landing before check-in at 17:00? Leave your bags at the luggage storage in Playa d'en Bossa.

12

Can we celebrate, and what are the rules?

Most villas sit among neighbours, and Ibiza's noise rules are strict. Knowing the rules before you book is cheaper than learning them from a complaint at midnight.

Ask: what are the quiet hours, can friends come over, and what does cleaning not cover?

How Wingman Ibiza answers it

  • Birthdays, hens, stags and reunions are welcome, at household volume. Quiet hours are 23:00 to 09:00, and our villas are in residential areas, so please be considerate of the neighbours at any hour.
  • Each villa has a household Bluetooth speaker. DJ and professional sound equipment are not allowed.
  • Friends staying elsewhere can come over, agreed with us in advance.
  • Please leave confetti and glitter at home: clearing it from a garden and pool often costs EUR 100 to 200 extra.
  • Bring your own caterer or bartender, or let us arrange a private chef, a cocktail barman or drinks in the fridge when you arrive.

13

Who answers when something goes wrong?

A broken shower is a small problem until nobody answers the phone. What matters is how fast someone reacts and what happens if it cannot be fixed.

Ask: who do we call during the stay, and how quickly will someone come?

How Wingman Ibiza answers it

  • At Wingman Ibiza, Jens is the contact for anything during the stay, reachable 24 hours a day for emergencies.
  • Most things are sorted over chat straight away, or by someone at the villa within the hour.
  • If something cannot be put right quickly, we agree a fair compensation for the time it affects your stay.

14

One villa, two villas, or apartments and a hotel?

A villa is not always the right answer for a group, and it helps to decide that before you compare villas.

OptionSuits a group thatTrade-off
One villaIs 8 or fewer, arrives together and wants one kitchen, one table and one poolThe licence sets the limit, so a ninth person means a second place to stay
Two villas side by sideIs 9 to 16 and wants to stay togetherTwo kitchens and two pools to share between you, so agree early who sleeps where
Apartments or a hotelArrives on different days, wants daily cleaning or a reception, or would rather not need a carNo shared kitchen, table or garden, so the group spends its evenings apart or out

Ask: if we take two villas, how far apart are they, and can we all be together at one of them?

How Wingman Ibiza answers it

  • Villa Kiku and Villa Mika face each other on one lane, 59 metres gate to gate, booked as one stay with one payment.
  • The group can spend its time together at either villa, or spread out over both. Kiku has the BBQ table, the outdoor bar and the games; Mika has the fenced, more private garden and three en-suite bedrooms.
  • More on the pair, with prices by month: Villa Kiku and Villa Mika for 16.

Three real enquiries, and what the answer changed

Names and dates left out. Each one shows a question worth asking any host.

"We will be 6 or 8 people. Can you quote both?"

A group planning a celebration in June. We quoted both, and the price for 8 was the same as for 6: the villa is priced as a whole, and only the tourist tax follows the headcount. Bringing the two extra friends brought the cost per person down by a quarter.

Worth asking: is the price for the villa or per person?

"Sixteen of us, a week in August, a few days either way."

No single licensed villa in Ibiza takes sixteen. Because the group gave us a few days of flexibility, we could check every arrival day that week and found Villa Kiku and Villa Mika both free for the same seven nights: two licensed villas on one lane, one booking, one payment.

Worth saying early: how flexible your dates are. A day either way can open up options.

"Villa Mika for six, arriving on the Saturday morning."

The first night was the island's closing weekend and already booked. We offered the same villa from the next day, or another villa for the nights that were free. The group could only arrive that Saturday, so neither worked.

Worth asking: is every night of our stay free, including the first? Busy weekends often fill one night at a time.

Which of our villas fits your group?

Move the slider and tick what matters. It works off the same facts as the rest of this guide.

Someone in the group would rather avoid stairs
Fewest people per bathroom matters most
We want one long table outside for everyone
All three Wingman villas take 8. Villa Suki is all on one level. Villa Mika has the most bathrooms, 4 for 8. Villa Kiku has the largest table, 14. Villa Kiku and Villa Mika together take 16, and all three take 24.

What this guide does not cover

Prices change by season and day of the week, so none are given here: a quote for your dates is the only reliable figure. Cancellation terms depend on how you book, and are shown on your quote and on each Airbnb listing.
